Privacy Policy

1. The short version

• We collect only what we need to run RecruitMatrix for you.
• We do not sell your data. We do not use it to target advertising. We do not share it with college coaches, schools, or anyone else without your action.
• You can export or delete your data at any time.

2. Who we are

RecruitMatrix is operated by RecruitMatrix LLC (“we,” “us”), a Minnesota limited liability company. This policy covers data collected by the RecruitMatrix web application at recruitmatrix.app.

3. What we collect

Account data: Your name, email, password hash, graduation year, and primary sport.

Athlete profile data you enter: Sport preferences, weight class or event, GPA, test scores, location, home state, scoring rules, and any other profile fields you fill in.

Recruiting activity: Schools you shortlist, scores you assign, touchpoints (emails, calls, visits) you log, coach contacts you add, and any notes you write.

Usage data: Standard server and access logs (IP, user agent, pages viewed) for security and debugging.

Payment data: Subscription payments are processed by Stripe. We do not store full card numbers — only a customer ID and a record that you paid.

Email engagement: When we send transactional or alert email, we record delivery status, opens, clicks, and unsubscribes.

4. How we use it

• To operate the service for you — auto-scoring schools, computing fit grades, generating coaching advice, surfacing roster openings.
• To send transactional email (account confirmation, password reset, payment receipts, scheduled alerts you opted into).
• To prevent fraud, abuse, and unauthorized access.
• To send occasional product updates — only if you opt in, and you can unsubscribe at any time.

5. Who we share it with

We use a small number of trusted vendors. We do not sell data to anyone.

• Supabase / AWS — database, authentication, file storage
• Vercel — web hosting
• Stripe — subscription payments
• Namecheap Private Email — outbound transactional email
• Google — if you sign in with Google

We will also disclose data if required by law (subpoena, court order) and will tell you when we are legally allowed to.

6. Coach Collaboration Portal

If you invite your high school or club coach to view your matrix (Pro and Elite plans), they will be able to see the schools you have shortlisted, your scores, and the contacts you have logged. They cannot see your payment information or your private notes. You can revoke a coach's access at any time from Settings.

7. Your rights

• Access or export your data at any time from your account.
• Delete your account and your data by emailing support.
• Correct anything inaccurate.
• If you live in California, the EU, or another region with stronger privacy rights, those rights apply to you too.

8. Athletes under 18

RecruitMatrix is used by high school athletes, many of whom are minors. We do not knowingly collect personal information from children under 13 and accounts must be at least 13. If you are under 18, we ask that a parent or guardian review the account, our terms, and this policy with you. A parent or guardian may contact us at any time to review, update, or delete a minor's account.

9. Retention

We keep your data while your account is active. When you delete your account, we delete your data within 30 days, except where we are legally required to keep records (e.g., tax records, payment history).

10. Security

Data is encrypted in transit (HTTPS) and at rest. Access is limited to the small number of people who run RecruitMatrix. Despite our best efforts, no system is perfectly secure — we will notify you promptly of any breach affecting your data.

11. International transfers

RecruitMatrix is hosted in the United States. If you access it from elsewhere, your data will be transferred to and processed in the US.

12. Cookies

We use only the cookies needed to keep you signed in and run the application. No advertising or cross-site tracking cookies.

13. Changes

We may update this policy. Material changes will be announced by email or in-app notice at least 14 days before they take effect.
